Abstract
E-DOKUMENT BASED ARCHIVES MANAGEMENT IN THE DISPUTE CON-TROL AND HANDING SECTION AT THE ATR/BPN OFFICE, KUPANG CITY Putri Kresensia Yulia Paduk*. Paulus A.K.L Ratumakin S.Fil, M.Si**.Yosep D.Lamawuran, S.Sos.M.Si*** The purpose of this research is to study E-Document-Based Archive Management in the Control and Handling Section of Land Conflict Disputes at the ATR/BPN Office in Kupang City. This type of qualitative research uses descriptive methods. With data col-lection techniques (1) observation (2) interviews (3) documentation. The data sources used are (1) primary data (2) secondary data. Data analysis techniques (1) data reduc-tion (2) data presentation (3) inference. The theory used in this study is the theory of Read and Gin about electronic archive processing consisting of Creation and storage: scanning, convention, importing and storage (online, offline, nearline) and Theory Ac-cording to Ismanto Agenda creation from conventional to e-document (simple excel). (1) Prepare incoming mail physical documents (2) Scan physical incoming mail docu-ments (3) Create a database on Microsoft Access (4) Input incoming mail data into the database (5) Set database view (6) Backup data periodically. The results of the study: (1) Incoming mail agenda, Incoming mail agenda management in the dispute control and handling section has two forms, the first is conventional incoming mail processing, the second is processing in excel form. The incoming mail agenda with excel processing is added with a link column which will make it easier to find documents later. Sugges-tions for initial registration of the incoming letter agenda should pay attention to the numbering because if an error occurs it will result in a double code on the incoming let-ter which is backed up (2) Incoming letter archives, incoming letter documents received by the land dispute control and handling section in physical form will be backed up with through the creation stage (scanning, con-vesing, importing) and the storage stage (online, offline, nearline). Suggestion It is better if the archive of incoming mail re-ceived by the control and dispute handling section is scanned immediately when dispo-sition is already there, don't stack it up so as to minimize negligence in the form of lost or damaged letters. (3) Google Drive As a storage place, Google Drive has the disad-vantage that it only accommodates 15 GB, no security and no budget to increase storage space yet. the use of google drive in the control and dispute handling section is used to create a link that will be forwarded to the excel incoming mail agenda to make it easier to search data Storage using offline media such as CDs please consider.
